Who we are

WE EHS (weehs.org) builds workplace safety software: fire equipment, hazardous energy control, permits to work, ISO 45001 audits, risk assessment, and an OHS suite that brings those modules together. This policy explains what personal information that work involves and how to reach us about it.

What this covers

It covers the marketing site at weehs.org and the product applications you open from it. It does not change your employer’s or your organisation’s own duties for the workplace records they choose to keep.

Information we collect

  • Enquiries. Name, work email, phone, organisation, product of interest, and your message, plus the consent you give on the form so we may reply.
  • Trials and accounts. The same kind of contact and organisation details when you start a trial, and the account you then create in the product. The first account for a new organisation is its admin. The trial described on the site is 14 days, and this marketing site does not take a payment card.
  • Workplace records. Information your organisation enters in a product — sites, people associated with them, and safety records such as assets, permits, audits, and risk assessments. Your organisation decides what is recorded.
  • On this marketing site. Form entries and a trial-session reminder are stored in this browser’s local storage. They are sent to WE EHS when the site is connected to a lead inbox. We do not use advertising or analytics cookies on this marketing site.

Why we use it

We use it to answer an enquiry, to set up and run a trial, to operate the products for the organisation that owns the workspace, and to send operational messages about that account or trial. We do not sell personal information, and we do not use it for advertising.

Exports

From the products, an organisation can export registers and reports to Excel or PDF, including at the end of a trial. That export is under the organisation’s control.

How long we keep it

Enquiry details are kept long enough to reply and to keep a record of that conversation. Account and trial details are kept while the account or trial is open and as needed to close it. Workplace safety records are kept while the organisation uses the service, and longer where occupational safety law or that organisation’s own rules require the record to be kept. Local storage on your device stays until you clear site data for weehs.org.

Who we share it with

We share it with the organisation whose workspace it belongs to, with people that organisation has authorised, and with the providers who host and deliver the products, only so the service can run. We do not share it with advertisers or data brokers.

Your requests

You may ask what personal information we hold about you, ask for a correction, or ask for deletion. Some workplace safety records cannot be erased where the law requires them to be kept; where that applies we will say so. Email info@weehs.org. If your organisation administers the workspace, its administrator may need to act on records it owns.

Changes

If this policy changes, this page will show the new text and a new effective date.
